Operations · scenario 4 of 5
Deadlines kept before the client has to ask
I build monitoring that knows the agreed response time for each request, reminds the responsible person in time and escalates when it runs out. The client hears from you before they have to chase you.
How it works
- 01 · Event
A clock starts
A request, ticket, offer or task is created with an agreed response time.
- 02 · Data
Owner and deadline
Only status, owner and due time are tracked, not the content of the work.
- 03 · AI
Real delay or not
The AI decides whether a request is really waiting or was already answered in another channel.
- 04 · Action
Reminder, then escalation
The owner gets a reminder; if nothing happens, the manager is notified or the task reassigned.
- 05 · Check
Closed means answered
The clock stops only when the customer actually got an answer.
- 06 · Human
Manager decides
Reassignment and telling a client about a delay stay with a person.
What you get
- Overdue work shows up before the client complains.
- Reminders reach the person responsible, not the whole team.
- Managers see the exceptions, not every task.
Example
An IT service provider promises a reply within four hours. Every ticket starts a clock; at three hours the engineer gets a reminder, at four the team lead is notified and the client receives a short status. The clock stops only when the client has an answer, not when the ticket changes status.
Privacy by design
The system sees deadlines, owners and statuses, not message contents. It controls the request, not the person: nothing measures how employees work at their desk.
Typical stack
CRM or ticket system · task and calendar tools · notifications by email, SMS, Teams or Slack · n8n or Python workflows
Built into what you already run: your CRM, telephony, n8n instance or cloud stay in place. I can also take over an existing workflow or join a running project.

Describe what slows you down.
You get back what to automate first — and what not to.
