Operations · scenario 1 of 5

Every call and email answered, sorted and filed

I build intake for phone, email, chat and web that works out what the person wants and files it as one record. Routine questions are answered at once; the rest reaches the right person.

How it works

  1. 01 · Event

    A request arrives

By phone, email, chat or web form, at any hour.

  2. 02 · Data

    Substance, not transcript

Who, what, how urgent; the conversation itself is not stored.

  3. 03 · AI

    Answer or route

The AI decides whether to answer from your approved information, open a ticket or call in a person.

  4. 04 · Action

    Record and reply

A CRM or ticket entry is created; the customer gets an answer or confirmation.

  5. 05 · Check

    Nothing unowned

Every request has an owner and a status until it is closed.

  6. 06 · Human

    Hard cases handed over

Complaints and unclear requests go to a person, context included.

What you get

  • No request disappears in a shared inbox.
  • Routine questions are answered without a person.
  • Staff start each case from a summary, not a recording.

Example

DienstBot, my voice AI for Austrian service businesses, answers calls in German, finds out what the caller needs and emails the business a summary. When it cannot complete a call safely, it escalates to the owner with everything captured instead of improvising.

Privacy by design

The AI sees the current request and what it may answer from, not your customer base. Audio is processed in memory, never written to disk; the record keeps the substance, not the conversation.

Typical stack

SIP telephony and email connectors · EU-hosted speech-to-text and LLM · CRM or ticket system API · n8n or Python workflows

Built into what you already run: your CRM, telephony, n8n instance or cloud stay in place. I can also take over an existing workflow or join a running project.

Describe what slows you down.

You get back what to automate first — and what not to.
